Overview

This guide will help you integrate your business (service) email with the 3Chat platform. The 3Chat AI Agent can automatically receive, understand, and respond to customer inquiry emails. By configuring Agent guidance and a knowledge base, the AI Agent can more accurately understand customer needs, enhance email service efficiency and customer satisfaction.

Quick Operation Guide

After logging in to 3Chat, you can configure your email through the following path: Channel > Email > Mailbox

Preparation Before Installation

Before you start, please ensure:

You are the administrator of the 3Chat space or have email management permissions.

You are familiar with the third-party client authorization rules of the email service provider you are using (some emails need to enable related services first).

Please ensure that your email is only connected to one 3Chat space.

Before connecting your email, please read the followingHow to Get Authorization Code, find the operating steps from your email service provider and successfully obtain the authorization code.

Operation Steps

How to Get Authorization Code

Before connecting an email in 3Chat, please first go to the application of the email service provider you need to configure and get the authorization code for third-party client login. Please remember the authorization code you obtain, as it will be needed in the subsequent connection process.

The methods for obtaining the authorization code vary among different email service providers, and below are some common service providers' authorization code acquisition instructions.

QQ Mail

  1. Visit the QQ Mail web version, and log in to your email account.

  1. Click on the "Settings" to the right of your email address at the top of the page. In the settings page, switch to the "Account" tab. Scroll down on the tab to find the "POP3/IMAP/SMTP/Exchange/CardDAV/CalDAV services" and click the enable services below.

  1. After clicking Enable Service, you will be prompted to bind your phone number. Click Go to Bind. Follow the pop-up instructions to send a text message to complete verification.

  1. After completing the phone number binding and verification as mentioned above, QQ Mail will generate an authorization code. Be sure to copy and save it immediately (it will only be displayed once).

  1. After getting the authorization code, go back to "Settings->Account", find "POP3/IMAP/SMTP/Exchange/CardDAV/CalDAV services", and click on "Manage Services" below to manage the obtained authorization code.

  1. If you missed copying the obtained authorization code, go to the "Security Settings" page, where you can re-acquire the authorization code.

  1. If you want to disable the authorization, also in the "Security Settings" page, click disable service, or enter the "Authorization Code Management" to view the information of obtained authorization codes, and proceed to disable it. 3Chat can automatically recognize the status of expired verification codes and notify you by email to perform a re-authentication operation. You can again get the authorization code, please go to 🔗Re-authenticate Email to view the operation steps.

NetEase 163 Mail

  1. Visit the 163 Mail web version and log in to your email account.

  1. Click on the "Settings" to the right of your email address at the top of the page, and select "POP3/SMTP/IMAP" from the drop-down menu.

  1. Click on "Enable" at the "IMAP/SMTP Service" section.

    Note: To ensure that 3Chat processes emails effectively, do not use the POP3/SMTP service.

  1. NetEase Email will guide you to use NetEase's official email app to perform the operation of obtaining the authorization code. You can click Continue Enabling below to continue with subsequent operations.

  1. The phone number you provided when registering your email will receive a verification code. Fill in the verification code as prompted in the window to complete phone number verification.

  1. After the verification is successful, the system will display the authorization code. Be sure to copy and save it immediately (it will only be displayed once). The authorization code provided by NetEase 163 Mail has a validity period of 180 days. If you do not disable responses for this email in 3Chat, 3Chat can automatically recognize the status of the expired verification code through email notifications, reminding you to perform re-authentication operations. You will need to execute the operation to obtain the authorization code again. Remember this authorization code information, and go to 🔗Re-authenticate Email to view the operation steps.

  1. If you accidentally missed the authorization code pop-up information, you can only perform the authorization operation again. Refer to the marked area in the image below, click to add a new authorization password, and perform this operation again. You can also delete the authorization password here to stop the authorization in the already connected 3Chat email.

NetEase 126 Mail

  • Click on the "Settings" to the right of your email address at the top of the page, and select "POP3/SMTP/IMAP" from the drop-down menu.

  • Click on "Enable" at the "IMAP/SMTP Service" section.

    Note: To ensure that 3Chat processes emails effectively, do not use the POP3/SMTP service.

  • NetEase Email will guide you to use NetEase's official email app to perform the operation of obtaining the authorization code. You can click Continue Enabling below to continue with subsequent operations.

  • The phone number you provided when registering your email will receive a verification code. Fill in the verification code as prompted in the window to complete phone number verification.

  • After the verification is successful, the system will display the authorization code. Be sure to copy and save it immediately (it will only be displayed once). The authorization code provided by NetEase 126 Mail has a 180 days validity limit. If you do not disable the responses for this email in 3Chat, 3Chat can automatically recognize the expired status of the verification code, notifying you by email to perform the re-authentication operation. You will need to execute the operation to obtain the authorization code again, remember this authorization code information, and go to 🔗Re-authenticate Email to view the operation steps.

  • If you accidentally missed the authorization code pop-up information, you can only perform the authorization operation again. Enterprise WeChat Email

  1. Go to Tencent Enterprise Mail webpage, log in to your Enterprise WeChat email. After logging in, click on "Settings" below your email address at the top of the page to enter the Email Settings page and switch to the "Account" tab.

  1. Scroll down on the "Account" tab to find the account security section, and check whether the Secure Login marked in red in the picture below is enabled. If not enabled, follow the page guide to enable secure login.

  1. Once confirmed that secure login is enabled, click the Generate New Password button marked in red in the picture below to create a client-specific password.

  1. Obtain the authorization code generated for the Enterprise WeChat email in the pop-up. Be sure to copy and save it immediately (it will only be displayed once). It is recommended to label the 3Chat space name in the password usage to avoid operational errors when disabling the password later.

  1. If you want to stop this service email, you can choose to disable the authorization password in the position indicated in the picture below. 3Chat can automatically recognize the status of the disabled verification code and notify you by email to perform the re-authentication operation. You can perform the operation to obtain the authorization code again, remember this authorization code information, and proceed to 🔗Re-authenticate Email to view the operation steps.

Feishu Enterprise Email

  1. Open your Feishu client, enter the "Email" application in the left function bar, click on the "Settings" icon at the top, and enter email settings.

  1. Find "Third-party Email Client Login" in the settings page and click Set Now.

  1. In the authorization pop-up, select the device you commonly use for login and then click the Generate button.

  1. Obtain the authorization code generated for Feishu Enterprise Email. Be sure to copy and save it immediately (it will only be displayed once).

  1. Click Set Now again to view the historical records of obtaining authorization codes. If you need to cancel authorization, click the Delete icon on the right side of the record line. 3Chat can automatically recognize the status of the expired verification code and notify you by email to perform the re-authentication operation. You can perform the operation to obtain the authorization code again, remember this authorization code information, and operate re-authorization. Go to 🔗Re-authenticate Email to view the operation steps.

Connect Email

If you have obtained the authorization code from your email service provider according to the above guiding steps, you have completed all the preparations, and now let's start connecting your email in 3Chat.

  1. Navigate to the email section through the left sidebar Channel > Email > Mailbox. Click Connect Email in the upper right corner of the email list on the page, and enter the connect email window wizard.

  1. First, select your email service provider.

  1. Second, enter your email address. If you selected Amazon in the first step, please fill in the email you configured in the seller backend to receive buyer messages.

  1. Third, input the authorization code you obtained from the email service provider, and click Next.

  1. We will use the email and authorization code you provided to request authorization verification from your email service provider. If the information entered is accurate, congratulations! You have successfully completed the email connection for 3Chat.

  1. You can permanently stop the 3Chat smart agent from processing emails through the delete operation, or temporarily stop processing by disabling AI responses. Of course, you can enable AI responses again to reactivate the 3Chat smart agent to continue assisting you with customer email inquiries.

Re-authenticate Email

When any of the following three scenarios occur:

✅ The applied authorization code has expired.

✅ Third-party login services (IMAP/SMTP) have been disabled in the email service provider's client or web version.

✅ The created authorization code has been deleted in the email service provider's client or web version.

3Chat will recognize the status of email authorization invalidity, and actively send a reminder email about expired authorization codes. If you still need the assistance of the 3Chat intelligent customer service to handle email inquiries, click the link provided in the email to quickly jump to re-authorization operations.

By clicking the link, you can quickly go to the email list and find Re-authenticate and click to operate in your email data row.

Output the latest obtained authorization code, click OK, and 3Chat will reactivate your email to continue assisting you in handling customer inquiry emails.
